What you will doRole will be office based whilst training, thereafter minimum of 3 days per week will be office based.Join our Felixstowe dealership and use your love of customer services, multi-tasking and working in a fast-paced environment!As a Regional Planning Administrator, you will liaise with our customers first hand, assisting with the planning of maintenance and repairs. Working closely with our Workshop team providing them with relevant and accurate information, ensuring the customers’ expectations are always managed. Responsibilities within role:Develop customer relationships ensuring customer details are up to date and recorded on the Volvo SystemsKey customer contact and point of referenceWorking with the workshop management team, ensure workshop scheduling and loading to maximise available capacity and utilisationClarify for the customer and the workshop the basis for the repair – Retail/Warranty/ContractGain customer agreement through selling the benefits of identified repair solutions in a professional mannerProduce sand explain repair order to customer during planning stagePlanning Create, maintain and communicate the VOSP (incl MOT) service plan to customers.Maintain customer contact information in workshop planner, CM and VDA.Ensure planning and communication that ensure all resources are available in advance of scheduled work (labour and parts).Manage bookings for courtesy cars, collection & delivery and waiting.Ensure that all active campaigns are allocated to the repair order.Plan and manage all truck monitoring cases communicating with customer, relevant dealer and RTM / SDM.Manage all contractual and non contractual vehicle alerts and communicate with the customer(s) or dealer(s) accordingly.SystemsEnsure that all proposed work is correctly specified based on standard IMPACT content and converted to GDS quotes.Be able to convert GDS quotes into repair orders. Ensure that all authorised work is properly codified on the repair order prior to handover to the workshop. Be able to convert a quotation into a workshop repair order. Who are you?You will require:Customer service skills with ability to liaise and communicate to customersStrong background in administration or customer focused roleAbility to work either part of a team or on own building a strong rapport with clients and colleaguesExcellent time management and organisation skillsGood level of ITTraining will be given in this role.
